Question

When creating a Portable Company File, why do I get the error ‘You may not have sufficient permissions to create a portable company file from this computer. Please try creating the portable company file from the server: (SERVER_NAME)?  The name specified is my computer not the server. 

Answer

This error may also occur when creating an Accountant’s Copy or when converting data to a newer version of Reckon accounts. 

These errors can occur if:

1.    The data operation is taking place over a network.

2.  The name of the company data file or its folder name contains illegal character; that is, non-alphanumeric characters such as appear above the numerals on the first line of the keyboard:  !, @, #, $, %, ^, &, *;

3.    Multiple workstations are configured to host the data file.

4.    The Windows user does not have sufficient permissions on the server.

5.    There is data damage in the company file.

 

Solutions:

Each error has separate procedures to follow.  Select the one appropriate to your circumstances.  If you do not know why you are getting the error, then start with the first step, and if the problem persists then continue with the next step. 

 

Solution 1:  Create the portable company file on your local PC

  1. Use Windows Explorer to copy the data file from the network location to your desktop
  2. Open the file from your Desktop and create a Portable company file to your Desktop. 
  3. Copy the portable company file from your Desktop to its permanent storage location. 
  4. Delete all company and portable files for this company file from your Desktop.

 

Solution 2:  Remove illegal characters from the company name and computer path

  1. Create a backup of your company file then close Reckon accounts.
  2. In Windows Explorer browse to the location of your company file:
    1. Right click the name and select Rename;
    2. Remove the illegal characters
    3. Select OK to save.
  3. Examine the folder path to the company file.  If there are illegal characters in the folder names, rename them by following the steps in Step 2 above.
  4. If you are using a mapped network drive, recreate it. 

 

Solution 3: Turn off Hosting Multi-User Access on Workstation PC.  Only the Server or Host PC should be hosting. 

  1. Go to the first workstation and open Reckon accounts
  2. Click on File > Utilities
  3. If you see Stop Hosting Multi-User Access, click on it.  If you see Host multi-user action, no further action required
  4. Repeat these steps on all workstations.

 

Solution 4:  Adjust folder permission

  1. Right click the folder containing the company file > Properties > Security
  2. In the Group or user name section, highlight the user
  3. (Windows 11 users then click on Edit)
  4. In the permissions for User  section, tick the Full Control box under Allow
  5. Click on Apply and then OK and OK to close the Properties box. 

 

Solution 5:  Repair the company file

  1. Verify the company file – File > Utilities > Verify
  2. If an error is detected, follow through and Rebuild the data file.  At the start of the rebuild process you will be asked to create a backup.  Do not override existing backups.
